30 August 2019 Release

New Features

  • Preview Pane: Supercharge your document review! You'll like this one because it will save you a lot of time and save your mouse button from being worn out. Click on the "Show Preview" button on the Inbox and Review pages and we'll pop out a preview pane that automatically shows the document that you've selected in the table. Review documents and edit metadata without your hands having to leave the keyboard!

  • DocuSign Integration: You can now automatically file documents that are signed with DocuSign into Aerofiler! Setting this up is just a matter of flicking a switch in Aerofiler and doing a few more things in DocuSign. Check out how on your account's Integrations page under the Organization Settings section. This is another way we're making filing effortless for you!

  • Next Event Date: You can now display a "Next Event Date" column in the Review page. Click the "Show Columns" button on the Review page to find it. This is a handy way to see whether a contract has expired, or when it's due to next renew or expire.

Improvements

  • Quicker Editing in Single File View: In Single File View, changes to metadata fields now save as soon as you edit them - you can either press Enter or click the tick that appears next to a field to save. While you're editing a field, you can also undo your changes by pressing Esc or clicking the cross next to a field. No longer must you scroll all the way down to the bottom of the form to click a "Save Changes" button!

18 July 2019 Release

New Features

  • Malware Scanning: When you upload a supported file to Aerofiler, we now scan it for malware and viruses. If the scan finds something bad, we'll let you know so you can ensure that your own systems are protected.

Improvements

  • Custom Fields Shortcut: So you can quickly configure your custom fields, we added a handy-dandy "Custom Fields" button on the Review page (visible to admins only).
  • Single File View Visual Tweaks: We realized that the gray text in Single File View was hard to read, so we made it black.

30 May 2019 Release

New Features

  • Key Dates: You can now set "Key Dates" for each of your documents! Use this to remind yourself of important events or obligations in contracts, or to create an event timeline for record keeping purposes. You can also set reminders based on these dates (see the next item). Access this new functionality through the "Key Dates" section of Single File View.

  • Key Date Reminders: Not only can you now set Key Dates, but you can be reminded by email about them! Set Key Date Reminders in the same way that you set reminders for renewal and expiry dates.

Improvements

  • Help Center: Our Help Center is even more helpful now. We've given it a face lift, refreshed the content, and will continue adding more content to it in the future.

Bug Fixes

  • File by Email: When we check whether an email address is authorized to file by email to your Aerofiler account, we were doing a case sensitive check. This was leading to some emails being incorrectly rejected. Now our system sees john.smith@xyz.com to be the same as John.Smith@xyz.com, as it should be.

29 April 2019 Release

New Feature

  • Export Selected Metadata: When exporting metadata to an Excel file, you can now choose between exporting all metadata for the selected documents, or only the metadata that is showing on the screen based on the columns you've selected to display. Find this new functionality under the "Doc Operations" button on the Review page.

Improvements

  • Tooltips: We're adding dotted underlining to some text in the Manage Custom Fields section to indicate that it has a tooltip if you hover over it with your mouse. We know that "hide the tooltip" is not a fun game, so we don't want you to play that anymore.
  • Reminder Deletion Warning: If you have reminders set for a document and you delete that document's Contract Term or Start Date, we now warn you that proceeding will cause reminders that rely on those items to be deleted as well. (We can't remind you when a contract renews if you delete the information that we need to calculate renewal dates!)

Bug Fixes

  • Custom Field Naming: Creating custom fields with non-alphanumeric characters in the Field Name would cause strange things to happen. We now disallow those characters in that field. Thanks to Ariel for reporting this bug!

2 April 2019 Release

New Feature

  • Download Multiple Files: You can now download multiple files at once from the Review, Inbox and Search Results pages. Select the files you want to download and we'll create a .zip file containing them all. Before, you had to go into the details page for each document and download each document individually - which was a huge pain.

Improvements

  • Reorganized Action Buttons: We realized the row of action buttons at the top of several pages (Inbox, Review, Search Results) was starting to get pretty darn long. We reorganized them into logical groups, which is also helpful if you are using a lower screen resolution or browser window width.

  • File Word Docs by Email: We have now enabled filing Word .docx files via email.

Bug Fixes

  • Word Docs in Browse: Word documents on the Browse page are now being properly displayed as files, not folders.

18 March 2019 Release

New Feature

  • Word .docx support: We now support uploading of Word .docx files! This is useful if you have execution copies, templates, or official or authoritative documents (like handbooks and policies) in Word format that you want to file on Aerofiler. Please note that .doc files are not supported (.docx was introduced in 2006 to replace .doc).

Improvements

  • Smart File Renaming: When you download a file, we use the metadata for that file to give it a logical, intelligible name. We improved our renaming functionality so that it produces intelligent names even though you haven't completed all of the relevant fields (such as title, party and date information). Gone are the days of trying to figure out what 9394823991.pdf and scanned_document.pdf are!

Improvements

  • Large PDF Support: We now reliably support PDFs that weigh in at up to 1000 pages. If you needed to review a document with that many pages, our thoughts are with you.
  • Clearer Permission Labeling: A user's role determines their default ability to access a document. This can be overridden by setting specific permissions that apply to that user for individual documents. However, if no such permissions are set, the permission level will be inherited from the user's role. Previously the label that denoted inheritance was "<None Set>", which was confusing to some, so now we've clarified it to "<Based on User Role>". This was a long explanation to say that we changed some text to make it clearer.

Bug Fixes

  • Validation Status: If you viewed the details page for a single file, it would always show as being "Validated" even though it was still in the Inbox (and thus decidedly not validated). This is now fixed. Thanks to Rachel for reporting this bug.

11 February 2019 Release

For our first major release of the year, we're really excited to announce three major new features. If you've used a contract management system before, the features seem familiar, but you've never seen them implemented in the way that we have. Aerofiler focuses on saving you time and effort, and we build everything for speed and ease of use in order to provide you with a better experience than other solutions. These features are great examples of that approach.

New Features

  • Contract Term Tracking: You can now track the term of a contract - even really complicated ones. (We don't mean term as in "terms and conditions", but term as in the term or duration of a contract.) We handle multi-term segment contracts, auto-renewing terms, indefinite terms, and even notice periods with ease. Our industry-leading interface lets you enter this information faster than any other system out there. Got a contract that has an initial term that ends on February 28, and then renews automatically for successive 12 month terms? You can enter that information in less than 9 mouse clicks and keystrokes (we counted).
  • Email Reminders: Set multiple email reminders for contract events like renewal dates, expiry dates, and notice deadlines (dates you have to give notice by, either to stop a contract from automatically renewing, or to exercise an option to renew one). We know you've been waiting for this feature to drop, and now it's finally here!
  • Contract Event Reports: You can now generate reports that list contract events (renewals, expiries, notice deadlines) occurring within the next X days, where you define X. This is just a preview of what we have in store for reporting. In the future, you'll be able to build and share customized reports.

Improvements

  • Hyperlinked Exports: In Excel exports, we now provide, for each document listed, a convenient hyperlink to where the document is stored on Aerofiler.
  • Snappier Select All: If you displayed a large number of documents in a table (hundreds or thousands) and clicked the Select All checkbox (or Deselect All), it would take a little bit of time to process. Now it only takes a fraction of time (which, to be clear, is significantly shorter than "a little bit of time").
  • Snappier User Management: We now don't refresh the entire page when you manage users, so that means quicker edits.
  • Improved Email Deliverability: We made some changes on our backend to help system emails get to where they need to get to, more reliably.

Bug Fixes

  • Upload Date on Browse: The Browse page now correctly shows the right Upload Date. Sorry about that.

10 December 2018 Release

Improvements

  • Document Previews: Before the last update, if you hovered over the magnifying glass icon in the Review, Inbox, or Search Results pages, we would show a thumbnail of the first page. In our last update, we changed its behavior to show the full PDF if you click on the icon. Now get the best of both worlds: we reinstated the thumbnail if you hover over the icon, while still letting you show the full PDF if you click the icon.
  • Add and Edit Doc Types: You can now add new values to the Document Type standard field. You can edit values too. You can't delete them, but that's on our to do list.
  • Marketing Email Preferences: You can now subscribe or unsubscribe from our marketing emails on your User Settings page.
  • Copying: Cells now flash blue when you press Ctrl-C or Cmd-C to copy them. They used to flash pink, which could be confusing because pink denotes an unvalidated field, and copying has nothing to do with validation.

Bug Fixes

  • Fixed Characters in Exports: Exports should now properly show characters like ö, é, and æ instead of mysteriously converting them to "??".
  • Fixed Extract Text in Exports: If you enter a search term for the Extract Column, we helpfully include the contents of that column in your exports. However, we also unhelpfully included a bunch of useless HTML code in that column as well. That HTML code has been shown the door.
